The Village of Orland Park currently seeks a Part-time VMO Administrative Assistant to assist the Village Manager's Office (including Clerk’s Office and Public Information Office) in providing excellent customer service and performing a variety of administrative duties to support the department.
As a VMO Administrative Assistant you will greet, screen, and direct all office visitors; answer, initiate, screen and distribute incoming phone calls to the appropriate individual within the department(s); perform general clerical/administrative tasks in support of the department and office staff; and relay telephone message and in-person complaints with precise and detailed messaging when necessary. This position will assist with conference room scheduling, process Freedom of Information Act (FOIA) requests, agenda preparation, filing, data entry, typing correspondence, proofreading, scheduling appointments, and completing other assignments as needed.
This role may also provide relief to other departments as a back-up receptionist or secretary as required along with any other duties as assigned. This position reports to the Assistant to the Village Manager.
The perfect candidate will exhibit strong written and verbal communication skills and have a good attitude. Minimum Associates degree or equivalent coursework is required. Some college coursework or related training is preferred. One (1) – five (5) years of experience in a professional office setting is needed. Experience and skill with Microsoft Office (Outlook, Word, Excel) are required. Experience with databases is desirable but not required. Maturity, confidentiality, and the ability to remain courteous and calm in stressful situations is a must.
